1. About us

These terms and conditions (“Terms”) govern your use of the Barrelheads website (barrelheads.co.uk) and any purchases of wine, spirits, or advisory services from Barrelheads Ltd (“Barrelheads”, “we”, “our”, “us”).

2. Age verification

It is illegal to sell alcohol to persons under 18 in the United Kingdom. By using our website and placing an order, you confirm that you are at least 18 years of age (or the legal drinking age in your country of residence, if higher). We reserve the right to request proof of age at any point and to refuse or cancel any order where age verification cannot be satisfactorily confirmed.

3. Products and pricing

All wines and spirits listed on our website are offered subject to availability. We make every effort to ensure that product descriptions, vintages, and pricing are accurate, but errors may occasionally occur.

In-bond pricing — wines listed as stored in bond at London City Bond are priced exclusive of UK excise duty and VAT. These charges will apply if and when the wines are released from bond for delivery within the United Kingdom. Wines purchased for storage or onward export may not attract these additional charges. We will confirm the applicable duty and VAT position at the time of your order.

Currency — all prices are quoted in British Pounds (GBP) unless otherwise stated.

Vintage variation — wine is a natural product. If a specific vintage becomes unavailable after your order is placed, we will notify you and offer a suitable alternative or a full refund.

4. Orders and payment

When you place an order through our website, you are making an offer to purchase. We will confirm acceptance of your order by email. A binding contract is formed only when we send this confirmation.

Wine purchases — payment for wine orders is processed via Stripe at the time of purchase. We accept major credit and debit cards.

Advisory services — fees for The Private Cellar programme are invoiced monthly via bank transfer to our Revolut Business account. Payment terms are as set out in your service agreement.

We reserve the right to refuse or cancel any order at our discretion, including where we suspect fraudulent activity, where products are no longer available, or where a pricing error has occurred. In such cases, we will issue a full refund for any payment already received.

5. Delivery and collection

Wines stored at London City Bond may be delivered to a UK address, held in bond for continued storage, or arranged for collection or export. Delivery charges and timescales will be confirmed at the time of your order and depend on the destination, the number of cases, and whether the wine is being released from bond.

All deliveries must be received by a person aged 18 or over. The delivery driver may request proof of age. If no suitable recipient is available, the delivery may be returned to the warehouse and additional charges may apply.

Risk of loss or damage passes to you upon delivery. Title to the goods passes to you when we receive payment in full.

6. Storage in bond

Wines described as stored at London City Bond are held in a government-bonded warehouse under Her Majesty's Revenue and Customs (HMRC) supervision. While in bond, UK excise duty and VAT are deferred. You may choose to keep wines in bond, release them for delivery (at which point duty and VAT become payable), or arrange export.

Storage charges, if applicable, will be communicated separately. Barrelheads is not liable for loss or damage to goods held in bond beyond the extent covered by the warehouse operator's insurance.

7. Cancellations and returns

Under the Consumer Contracts Regulations 2013, you have the right to cancel an order within 14 days of receiving your goods, provided the wines are returned in their original, unopened packaging and in resaleable condition. To exercise this right, please contact us at orders@barrelheads.co.uk.

We will arrange collection or provide a return address. Return shipping costs are your responsibility unless the goods are faulty or not as described. Refunds will be processed within 14 days of receiving the returned goods.

Faulty or damaged goods — if your order arrives damaged or you believe a wine is faulty (corked, oxidised, or otherwise defective), please contact us within 48 hours of delivery with photographs where possible. We will replace the affected bottles or issue a full refund at our discretion.

Advisory services — The Private Cellar programme operates on a month-to-month basis with 30 days' written notice to cancel. There are no long-term contracts or cancellation fees.

8. The Private Cellar programme

The Private Cellar is a personal wine education and advisory service. Programme tiers, pricing, and inclusions are as described on our website and in your individual service agreement.

Monthly programme fees include the cost of your curated wine case, delivery, sommelier time, tasting materials, and all services specified for your selected tier. Flights, accommodation, and personal expenses for vineyard trips (Complete tier) are arranged and charged separately.

You may change tier or pause your programme at any time with 30 days' notice by contacting your sommelier or emailing orders@barrelheads.co.uk.

9. Intellectual property

All content on the Barrelheads website — including text, images, tasting notes, programme materials, design, and branding — is the property of Barrelheads Ltd or its licensors and is protected by copyright and other intellectual property laws. Tasting notes prepared for Private Cellar clients are provided for personal use only and may not be reproduced, distributed, or published without our written consent.

10. Limitation of liability

To the fullest extent permitted by law, Barrelheads shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our website or services, or from the purchase or consumption of any products.

Our total liability for any claim arising from a purchase shall not exceed the price paid for the relevant goods or services. Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of our website shall be subject to the exclusive jurisdiction of the courts of England and Wales.

12. Changes to these terms

We may update these Terms from time to time. Any changes will be posted on this page with an updated revision date. Continued use of our website or services after changes are posted constitutes acceptance of the revised Terms.
